Inventory and Fulfillment Lead
As the Inventory and Order Fulfillment Lead for Rep Club, you will play a crucial role in ensuring that our shop is always stocked with merchandise that reflects our values and appeals to our customers, and that all customers always receive orders in a timely manner. Introverts and/or data and process nerds who are excited about a back office, administrative role (but are also comfortable in an energetic environment) will thrive in this position!
Your primary role will be to order and maintain wholesale inventory, and manage the customer-facing order fulfillment process end-to-end, with execution support from our Booksellers and guidance from our core team. An existing knowledge of books is a plus, but a love of details and process management will be essential in this role.
Core Responsibilities
- Ensure all online orders are packed and shipped in a timely and efficient manner, through coordination and delegation to Booksellers
- Ensure accurate and efficient receiving of all inbound packages; check-in, and shelve new inventory, with support from others, including Booksellers
- Keep inventory up to date and correct in POS system, including overseeing the addition of new products into the system (including books and non-book products); hand checking and correcting counts and managing transfers/purchase orders
- Lead a bi-annual in depth inventory reconciliation/stock check with support from the rest of the team
- Own inventory planning and backlist stock replenishment, through our distributors and directly with publishers, using best judgment to maximize revenue/margin while meeting customer expectations
- Collaborate with the leadership team on ordering new inventory, both books and non-books
- Manage publisher invoices and ensure on-time payment, according to specified schedule/net terms and work with bookkeeper to input and track all payments
- Maintain a deep knowledge of the bookstore's inventory, including new releases, bestsellers, and niche genres, as well as non-book inventory and Rep-specific merchandise
- Oversee email correspondence related to customer orders, with support from others, including Booksellers
- Support on B2B orders
- Work with the team on ensuring shelves are always stocked (requiring the ability to lift boxes up to 30 lbs)
- Occasional bookselling, in-person customer support, and events coverage as needed
- Identify and proactively address issues as they arise
- Submit weekly reports on book sales to industry-wide reporting platforms
Schedule and Location
This is a full time Mon-Fri position (32-40 hours a week). There is flexibility in your daily schedule—you can decide what time your 8-hour day would start, in coordination with the rest of the team. The position would start as on-site in our bookshop for at least the first 3-6 months, with the potential to become hybrid or even fully remote for the right person, once processes are developed and necessary team members are trained.
Necessary Qualifications
- High attentiveness to detail, demonstrated by successfully performing administrative functions in a fast paced environment
- Experience with process development and management; ability to develop systems and keep track dozens of issues/items at once
- Strong written customer service and vendor management skills
- Demonstrated ability to collaborate effectively with other team members through both delegation and peer feedback
- Interest in developing expertise in book publishing and bookselling industries
- Willingness and ability to train on and use digital tools such as GSuite, Asana, Shopify and book-industry specific systems like Ingram and Edelweiss
- Ability to lift and move boxes of books and other merchandise (up to 30 lbs) and stand and/or walk for extended periods, and bend, stoop, and reach to access and arrange books on shelves
- Excitement about operating in an administrative, back office capacity
Preferred Qualifications
- Experience managing e-commerce order fulfillment and inventory processes
- Existing knowledge of book publishing and bookselling industries
- Experience working in Shopify
- Familiarity with basic accounting and financial management terminology and processes

- Full-time, hourly position with a range of $18-24/hour, depending on experience.
